For events in and around the city, travel time may be affected by real-world traffic patterns, neighborhood access, and weather conditions. Routes near major corridors such as I-95, the 405, the 101, the Beltway, or other regional arteries can experience delays during peak hours. Events in beach communities may also be impacted by salt air, narrow residential parking, or seasonal tourism congestion, while inland neighborhoods may face heat, dust, or longer cross-town drive times. If your event is near a local landmark, stadium, waterfront district, downtown core, or suburban shopping center, please allow for extra arrival flexibility.

4. Deposits, Payments, and Billing

To secure your date, we may require a deposit or full payment depending on the package and timing of the event. Deposits are generally non-refundable unless otherwise stated in writing. Final balances, if any remain, are due according to the timeline listed on your invoice or confirmation.

5. Cancellation, Rescheduling, and No-Show Policy

Important: Last-minute cancellations can be difficult to fill, especially for weekend parties, holiday dates, and peak-season events. If our team has already reserved the date for you, prepared materials, or declined other work, cancellation fees may apply.

Rescheduling is subject to availability. We cannot guarantee that the same character, performer, or exact time slot will be available on your new date. If no representative is present at the event location at the agreed start time and no reasonable communication has been received, the booking may be treated as a no-show and considered fulfilled from a billing perspective, depending on circumstances and travel status.

6. Venue Conditions, Safety, and Event Readiness

You are responsible for ensuring the venue is safe, clean, and suitable for the booked service. This includes providing access to the event space, clear directions, parking information, and any required permits or venue approvals. If your event is at a park, community center, school, hotel, apartment clubhouse, or private residence, please make sure the space can accommodate the performance area and any activities included in your package.

We reserve the right to adjust, shorten, or refuse a performance if the environment is unsafe, unsanitary, overcrowded, or otherwise unsuitable. This includes but is not limited to excessive weather exposure, unsafe flooring, aggressive behavior, electrical hazards, or lack of adequate supervision.

7. Performance Boundaries and Guest Conduct

Our entertainers and staff are committed to creating a magical experience, but they are not responsible for supervising children. Parents, guardians, hosts, or designated adults must remain present and actively supervise minors at all times.

We do not tolerate harassment, abusive language, discrimination, physical aggression, intoxication-related disruption, or any conduct that places our team or guests at risk. If a guest’s behavior interferes with the service or threatens safety, we may pause or end the performance without refund.

8. Weather, Outdoor Events, and Force Majeure

Outdoor events carry special risks. Heat waves, wind, rain, humidity, coastal fog, dust, wildfire smoke, snow, ice, and lightning can affect makeup, costumes, equipment, and performer safety. If your event is outdoors, you are responsible for providing a covered backup location when possible.

We are not liable for delays or cancellations caused by events outside our control, including severe weather, road closures, accidents, public emergencies, power outages, traffic gridlock, venue lockouts, strikes, acts of government, illness, or other force majeure events. In such cases, we will make a reasonable effort to communicate and, when possible, reschedule.

9. Intellectual Property and Brand Use

All website content, service descriptions, logos, photos, written materials, and branding elements associated with Bubbles Magical Characters remain our property or the property of our licensors unless otherwise stated. Coastal areas may bring humidity and wind that affect balloons and costumes, while inland valleys may create intense afternoon heat that requires water breaks and shade.
